These Terms & Conditions (“Terms”) govern your access to and use of GhostAI’s services, including our website, apps, features, and integrations (collectively, the “Services”).

By creating an account, installing, or using GhostAI, you agree to these Terms. If you do not agree, please do not use our Services.

Who We Are

GhostAI is an AI-powered assistant designed to help you capture, summarize, and improve conversations.

Eligibility

You must be at least 18 years old (or the age of majority in your country) to use GhostAI. By signing up, you confirm you meet this requirement.

Your Account

  • You are responsible for keeping your login credentials secure.
  • You agree to provide accurate information (e.g., email, billing info).
  • GhostAI is not responsible for unauthorized access if you share or mishandle your account details.

Use of Services

You agree to use GhostAI only for lawful purposes. You may not:

  • Misuse the Services for illegal, harmful, or deceptive activity.
  • Attempt to reverse engineer, copy, or resell GhostAI without permission.
  • Use GhostAI in ways that violate meeting participants’ privacy or applicable laws.

Subscriptions & Payments

  • GhostAI offers free and paid subscription plans.
  • Paid plans renew automatically unless cancelled before the billing date.
  • Pricing, features, and credits may change, but we will notify you in advance of material changes.

Subscription Cancellation Policy

User-Initiated Cancellations

  • Users can cancel their active plan anytime by logging into their account → navigating to the Billing section → and selecting “Cancel Plan.”
  • Cancellation will stop future auto-renewals.
  • The user will continue to have access to all paid features until the end of the current billing period.
  • After cancellation, the subscription will automatically downgrade to the free/basic tier (if available).

Non-Payment or Policy Violations

  • GhostAI reserves the right to suspend or cancel a subscription without prior notice in cases of payment failures, chargebacks, or violations of our Terms of Use.

Refund Eligibility

A refund may be processed only in the following cases:

  • Duplicate or accidental payment made for the same service.
  • Technical or billing error resulting in an incorrect charge.
  • Service unavailability caused by a verified system failure on GhostAI’s end that prevents the user from using the service.

Refund Processing Time

  • Once approved, refunds will be processed within 7–10 business days to the original payment method.
  • Refund status updates will be communicated via email.

Ineligible Refunds

Refunds will not be issued for:

  • Partial use of a monthly or annual plan.
  • Early termination of an ongoing subscription period.
  • Service dissatisfaction where the system was functioning as intended.
  • Failure to cancel before renewal.

Credits (if applicable)

Some GhostAI features may be limited by usage credits (e.g., per call or per memory slot).

  • Free plan users may receive limited credits.
  • Unused credits do not roll over unless explicitly stated.

Data & Privacy

  • Your data (transcripts, summaries, notes) belongs to you.
  • GhostAI does not train its AI models on your private data.
  • We use enterprise-grade security (e.g., encryption in transit and at rest).

Service Availability

We strive for uninterrupted service, but GhostAI may be temporarily unavailable due to maintenance, updates, or technical issues. We do not guarantee 100% uptime.

  • GhostAI, including its software, brand, and content, is owned by us and protected by law.
  • You retain ownership of your own meeting data, transcripts, and uploaded content.

Third-Party Services

GhostAI may integrate with platforms like Zoom, Teams, or Slack. By using these integrations, you agree to their respective terms. GhostAI is not responsible for third-party services.

Termination

  • You may cancel your account at any time.
  • We may suspend or terminate accounts that violate these Terms or misuse the Services.
  • Termination does not relieve you of obligations to pay outstanding fees.

Limitation of Liability

GhostAI provides its Services “as is.”
We are not liable for indirect, incidental, or consequential damages arising from your use of the Services.

Changes to Terms

We may update these Terms from time to time. Material changes will be communicated to you, and continued use of GhostAI means you accept the new Terms.
